Introduction
What the Admin area is, who can use it, and how this guide is organized.
1. Introduction
Invatrak's Admin area is where you set up your company and decide how Invatrak behaves: your company details and preferences, users and what they may do, the lists people choose from, connections to QuickBooks, ShipStation, card processors and web stores, print and email templates, alerts, data import and export, and your subscription.
Opening Admin
Click Admin in the main menu. The Admin home page shows the menu sections (Company, Users & Security, Lists, Integrations, Templates, Alerts, Data, and Billing/Subscription), each with its pages and a one-line description. Type in the search box at the top to find a setting by name. The Settings tab bar (Company, Item groups, Accounts, Lookups, Statuses, Custom fields, Roles, List colors, Users, Sign-in, Accounting, Support access, Email and calendar) leads to several of the same pages and a few extra ones described in this guide.
Who can use it
What you can see and change in Admin depends on your role. The Admin role can change everything. The GM role can change company settings, lists, templates, and alerts but can only view users, roles, accounting, and integration settings. The Sales role can view most settings but not change them. A page you can view but not change shows its fields greyed out. Each option in this guide says who can change it.
How changes take effect
Settings apply as soon as you save them, to everything done afterwards. They do not go back and change documents already saved, unless the guide says otherwise. Every change is recorded in the audit log (Data › Audit log).
How this guide is organized
Chapter 2 is a getting-started checklist for a new company. Chapters 3 to 10 follow the Admin menu, one chapter per menu section. Chapter 11 covers QuickBooks sync in detail. Chapter 12 answers common questions, and chapter 13 explains terms. For every option you will find what it does, its default, who can change it, an example, and advice on choosing. The short help pop-up next to each setting in the app shows the same opening paragraph you see here.
